A useful implementation brief explains the task, the systems involved and how you will decide whether the finished workflow works. Use the questions below before asking a developer, agency or automation specialist for a quote.
At a glance
- Download a free editable text brief.
- Define scope, running costs, handover and tests.
- Use it with a provider of your choice.

Describe one result
For example: "Create a draft monthly client report from approved figures in our spreadsheet. The account manager must approve it before anything is sent." That is a clearer starting point than "Build us an AI agent".
Include these details in your brief
- The current task: who does it, how often it runs and what takes time.
- The software: apps, subscriptions, data sources and existing connections.
- The output: format, destination and person responsible for approval.
- The permissions: what the system may read, draft, change or send.
- The difficult cases: missing data, duplicate inputs, failed connections and ambiguous requests.
- The budget and timing: separate setup from ongoing software and support.
- The handover: ownership, documentation, access removal and maintenance.
- The acceptance test: examples that must pass before you rely on the workflow.

What should you ask a potential specialist?
Ask for a relevant example they can explain, a proposed scope, an itemised quote and a clear account of what you will own. Ask who investigates failures after launch and whether the quote includes documentation, testing and a handover session.
Check the person or firm yourself. A vendor directory entry, a certification or a polished demo can be useful context, but none is a substitute for checking their fit for your actual project.
How can you compare two quotes?
Give both providers the same brief and sample acceptance cases. Compare the included work, exclusions, running costs, support commitments and ownership terms. A cheaper build can be more expensive to operate if monitoring and repair are left undefined.
Can AI Agents UK introduce a provider?
A referral service is not available through this page yet. You can use the brief with a provider of your choice. If you want to tell us what kind of setup help you are looking for, contact AI Agents UK with a short description; an introduction is not guaranteed.
Do not send passwords, API keys, customer records or confidential attachments in an initial enquiry.
